Selecting a Paper-Handling System

Through the years, many of us lacking the volume for huge console inserting systems have had limited choices when creating mailings such as regular invoices to customers, bill payments or direct mail campaigns. We either asked our employees to fold by hand and stuff the outgoing mail or outsourced the entire production of the mailing.

Advances in technology now provide automated paper folding and inserting systems that are easy to use, flexible and can be custom fit to meet your needs. Even better, these new systems will not stretch your budget and let you reduce your folding and inserting costs without sacrificing dependability. Designed in tabletop and freestanding models, folding and inserting systems improve the speed, accuracy and efficiency of processing outgoing mail.

By using select folding and inserting systems, you can automatically:

· Fold and insert documents of different sizes and textures.

· Pre-fold documents before inserting them into an envelope.

· Set memory functions to custom fold papers for jobs done on a frequent basis.

· Adjust speed to accommodate various weights and textures of papers.

· Load while running to provide higher efficiency and production.

A variety of folder and inserter systems exist whether you have low-volume monthly or quarterly mailings, or thousands of pieces mailed daily. Many smaller tabletop systems designed for the low-volume mailer offer a range of options.

You save time and money by integrating feeders that automatically insert fliers, postcards, return envelopes and brochures into your envelope. You can determine exactly how many feeders to attach by the number of sheets of paper inserted into an envelope.

If the material you are working with requires you to match documents and if speed and accuracy are most important, consider adding Optimal Mark Reading to the system. OMR's benefits are that the time it takes to fill an envelope is halved and you limit exposure of your confidential information through a complete automation of the process.

OMR simplifies and secures folding and inserting. By reading tiny instruction marks printed on your document, OMR lets you perform functions including processing a variable number of pages per set of documents, inserting pages with supplemental materials and securing the entire process. OMR lets you skip the presorting process prior to inserting by marking the appropriate page to accumulate or insert.

OMR also reduces the risk of misreading jobs. If the system cannot read the marks on a document or if there is a break in the sequence of a set of marked documents, then OMR will stop the process and alert you. Some systems even reject these pieces and keep processing the job.

What's new for the high-volume mailer? The high-end freestanding folder and inserter systems are designed to offer even greater security and higher productivity, accountability and flexibility. With the proper optional hardware they can do jobs such as collating, folding, inserting, sealing and mailing. Some of the folding and inserting systems connect directly to your postage meter, which boosts overall operating efficiency.

Companies find that most high-volume folder and inserter systems are 20 times faster than manually handling the materials. Add-ons such as bin collators and multi-feeders can quickly process different sizes of documents and envelope-sized enclosures. Many of the higher-end folder and inserter systems come with OMR built into the system.

Folder and inserter systems are easy to use, and the control panels are simple to read. Many systems now have an interactive display panel that offers pre-configured insert, feed and fold settings for various document and envelope sizes, as well as combinations of these. Furthermore, the interactive display panel lets you individually collect, assemble and position documents before folding them.
